4. Why we use your data, and our lawful basis
We will only use your personal data when the law allows us to. Our lawful basis to process your personal data is to fulfil the contract you have entered into with us. When you request an invite, sign-up or sign-in to use Stage Partner, or contact us, we must process your personal data to provide you with our service.
We may also use your personal data to check if you are eligible to use Stage Partner by checking the public registers of the General Teaching Council for Scotland (GTCS) or of the Scottish Social Services Council (SSSC) to verify that you are registered and therefore eligible to use Stage Partner.
We may also use your personal data to keep Stage Partner secure and to enforce our terms. This means we may look at usage records if we suspect a violation of our Terms of Use.
We may also capture anonymised usage data (non-personal data) to analyse how our products and services are used, and to use for the purposes of improving them.
If you agree that we can send you marketing information, we may use your personal data to share news and updates about Stage Partner and its products.
5. How we keep your data secure
All information you provide to us is stored on secure servers. We use a secure user authentication process for you to access certain parts of our products and services, and you are responsible for keeping this information confidential.
6. Where we store your data
All your personal data that Stage Partner requests from you is securely stored within the UK and EU.
However, it is possible for you to choose, in violation of Stage Partner's Terms of Use, to include personal data in instructions or information you input into Stage Partner when creating lesson plans or associated teaching resources.
This personal data may be sent to our AI partner, which Stage Partner uses to provide this service. This data may be processed outside the UK and EU.
We have a data processing agreement in place with our AI partner that is subject to the UK Data Protection Act. All information sent to the AI partner is deleted automatically by them after 30 days and no models are trained on data that is sent.
7. How long we keep your data
We keep personal data only as long as we need it for the purposes in section 4, and then delete it. The periods below match our terms of use.

- Your account details: Up to 30 days after you request your account to be deleted or your account has been closed due to 12 months of inactivity
- Emails between you and us: 12 months after the matter is closed
We may keep a minimal record that you had an account, and why it ended, where we need it to deal with a legal claim, to enforce our terms, or to prevent someone we have removed from returning.
8. Cookies
Stage Partner only uses cookies when you sign in. They hold your session so that you stay signed in as you use the product, and they expire when you sign out. They are strictly necessary for the service you have asked for, so the law does not require your consent to them, but we tell you about them here.
We use no analytics, advertising, social media or other third-party cookies, and no similar technologies such as tracking pixels. If that changes, we will update this policy first and, where the law requires it, ask for your consent.
